The trick is all in the framing. Instead of a blunt "Why haven't you replied?" (which, yes, I have seen in actual work emails), native speakers tend to soften the message with a light opener. Something like "Just wanted to circle back on my previous email" signals urgency without pointing fingers.
Another go-to move: "I just wanted to touch base regarding the deadline." It sounds casual, almost friendly — but everyone knows what it means. The deadline is real, and you need an answer.
What really throws people off in cross-cultural email exchanges is the gap in expectations. Japanese professionals often read silence as "I'm thinking about it," while their overseas counterparts might read your silence as "I'm no longer interested." A short, warm nudge — "No worries if you're swamped — just checking in!" — can actually go a long way toward keeping the conversation alive.

もうひとつよく使われるのが「締め切りについて軽くご確認を」というフレーズ。カジュアルで、ほとんど友好的にすら聞こえる——でも言いたいことはみんなわかってる。締め切りは本物で、答えが必要だ、ということ。
異文化間のメールのやり取りで人々が面食らうのは、期待値のズレだ。日本のビジネスパーソンは沈黙を「考え中」と読み取りがちだけど、海外の相手はあなたの沈黙を「もう興味がない」と受け取るかもしれない。「忙しかったらごめんね——ちょっと確認したくて！」という短くて温かいひと押しが、会話をつなぎ止めるのに大いに役立つことがある。
だから次に「送信」ボタンの上で指を止めて、フォローアップしたら迷惑かな……と悩んだときは、大丈夫。うまくやれば、むしろしっかりしてる人に見えるから。
